Minutes of the Ashwater Parish Hall Committee Meeting Held on Wednesday 6 September 2006

Constitution

M Timney reported that all trustees would receive the ‘constitution pack’. It was imperative that each trustee should receive a copy of all documents. Insurance would be looked into during May and June 2007, plus trustee indemnity insurance.

Finance

Bids

Big Lottery Fund

The Big Lottery Fund forms were being filled in ready to submit by mid October. The forms would be checked by Andy Lyle and I Buxton. Several other possible grants needed to be explored. It was agreed that the present sub-committee should continue with Big Lottery Fund matters. M Timney and P Capron would attend a VAT advisory drop-in session in Bude on 11 September, to discuss issues relevant to the village hall.

Treasurer’s report

Old Hall Current £834.95 Reserve £686.35
New Hall Current £2940.41 Reserve £1067.10

It might be necessary to alter the name on the bank account for the Big Lottery Bid. It was formally proposed by M Timney and seconded by P Capron that the bank account be retitled ‘Parish Hall and Institute’.

Lotteries and Gaming Act

P Capron reported back on the proposed gaming act and would send in comments to TDC. The new gaming licence would cost £23.00. P Capron would deal with this payment and form filling. The committee would need to tighten up on how the hall was booked, with reference to ‘bars’ and keep a record of how many licences had been used. It was agreed that unless a signed copy of the hall booking form was handed in before an event, the hall key should not be released. An explanation would be put in the newsletter. All groups would receive information about the hall booking form.
Kate Davies would take over the 100 club.

BT

M Timney had received several telephone calls, explaining how the issue could be resolved without cost. Work would be carried out on 12 September.

18 October Film - Pirates of the Caribbean
25 October Talk about Dartmoor, organised by I Buxton
25 November Wine and Wisdom for the church
02 December Celtic evening
1 February Gospel choir - joint event with the church

106 agreement

M Timney would, once again, chase up the 106 agreement.

Any Other Business

The event scheduled for 2 September had been cancelled and would be held at a later date.
