Minutes of the Ashwater Parish Hall Committee Meeting Held on Wednesday 4 October 2006

Present: T Pugh, Ms P Anderson, B Jenkins, L Langston, I Buxton, E Gliddon, P Capron, J A March, Miss A Gill, A Stacey, Mrs A Shadrick, J Forward, Mr and Mrs G Spratt

Minutes of Previous Meeting

The minutes of the previous meeting were accepted as a true record, with the following amendment: I Buxton was not present.

Matters Arising

An addendum to the constitution had been circulated.

Finance

Big Lottery Fund

The application form for the first stage of the Big Lottery Bid had been completed and had been sent to Andy Lyle for checking. It was proposed by G Spratt, seconded by J A March and carried unanimously that, once checked, the bid should be sent. It would take about 6 months before the outcome would be notified. A vote of thanks was proposed to everyone involved in the preparation of the bid.

106 Agreement

The committee’s solicitor had been slow. T Pugh would draft a letter for the Parish Council to send to Torridge District Council about the high cost of solicitors’ fees for the 106 agreement.

Treasurer’s report

Old Hall Current £485.79 Reserve £689.87
New Hall Current £2338.21 Reserve £1094.09

Printing Costs

A bill for £24.67 had been received for printing the constitution. It was proposed by J Forward, seconded by G Spratt and carried unamimously that this be paid.

Fire Precautions

Fire Protection Services had passed the fire precaution arrangements in the village hall and the certificate had been received.

Fund Raising

Tickets for the forthcoming talk about Dartmoor would be available from the Post Office.

P Capron suggested that there ought to be a fund raising sub-committee set up who could organise 2 - 3 events each year to raise enough money to run the new hall, irrespective of any other hire/usage. A group should be set up to organise these special events which would help when we produce a business plan in stage two of the bid process. T. Pugh suggested that Spring, Summer and Autumn would be appropriate. After some discussion the meeting put off a decision to set up a sub-committee.

I Buxton would organise a Christmas quiz.
