Minutes of the Ashwater Parish Hall Committee Meeting Held on Wednesday 1st November 2006

Minutes of Previous Meeting
The minutes of the previous meeting were accepted as a true record, proposed by P Capron, seconded by Ms P Anderson
Matters Arising
Big Lottery Fund
The application for funding to the Community Buildings section of the Big Lottery has been submitted. The only item subsequently requested by the Big Lottery was that bank statements be sent. The originals have now been returned and given back to the treasurers.
S106 Agreement
A letter was sent to the chief executive of Torridge District Council. A reply has been received. The secretary to write to Ashfords.
Fund Raising
The total sum donated to hall funds from "card making" now exceeds £1100.00. Congratulations and many thanks to all those taking part.
The talk about Dartmoor was well attended.
The Secretary, having been absent from the last meeting asked why there had been no decision about forming a special Fund Raising Committee. He made the point that it would be prudent to form such a committee to show the funders - during stage 2 of the lottery bid - that such a committee would be responsible for putting together several fundraising events every year to fund, in particular, ongoing costs such as insurance, water, heating and electricity that are presently (partially) recovered by hall hire charges but the increases in costs for the new hall could not necessarily be cevered by increaseing the charges for hiring the new hall.
After much discussion it was agreed that I Buxton would chair a sub-committee and that the Secretary would look through the survey notes and extract a list of people who had volunteered to help with fund-raising for a new hall. Each of them would be approached so that, it is hoped, a robust fundraising committtee could be formed.
Legal
It was proposed by P Capron and Seconded by T Pugh that the title to the exisiting hall be registered. A solicitor from outside the parish, who has previously offered assistance to the Hall Committee would be approached with a view to obtaining some idea of costs, prior to instructing him to proceed.
Web Site
The web site now shows pictures of the existing hall. It really does look a dreadful site! Minutes have been posted back as far as the beginning of 2006.
Old Hall
It was agreed that E Gliddon would ask Joss Caroll to take a look at the ceiling and the kitchen sink. Both are in need of urgent repair.
P Capron and E Gliddon would see if they could remove the old cooker.
