Minutes of the Ashwater Parish Hall Meeting Held on Wednesday 1st August 2007
Present: M Timney, I Buxton, M Gliddon, E Gliddon, P Capron, A Gill,
J Forward, A Shadrick. T Pugh, P Andersom, H Thomas.
Apologies: L Langston, B Jenkins, B Parsons, A Spratt, G Spratt, S Eke.
As both the Chairman and Vice Chairman were absent the Secretary took the chair.
The Secretary reported that he had recieved a letter from B Jenkins apologising for his absence and resigning from the Committee and as a Trustee: having moved away from the area. The position of a new Treasurer was discussed under the Treasurers report.
Minutes of the Meeting held on 4th July
The minutes of the meeting were proposed as a true record by M Timney seconded by I Buxton and carried unanimously.
Matters Arising
Hall Visits
The Awards for all form was still in hand with the bid sub-commitee.
S106 Agreement
The Appeal to the Planning Inspector on the S106 is still being prepared. We are still awaiting the final bill for this item from Peter, Peter and Wright.
Lottery Bid
The meeting with Trewens has taken place, which proved successful, and a second meeting will be held with them on the 9th August when they hope to provide draft drawings of the new hall with its changes. The sub-committee continues to progress the stage two bid and are expecting to be able to place a contract for the site investigation work in the very near future. Secretary to contact T Moon about access.
The CCD application was nearly ready for submission. A large part of the Stage Two Application had now been completed but the major outstanding items were the Business Plan and the Capital Project Plan.
It was agreed to investigate the erection of a sign on the New Parish Hall site, Secretary to contact the local sign makers for a quote.
After some discussion on the costs to date it was agreed that there should be an article in the Newsletter bringing the Parish up to date with what has happened over the recent years and how the money so far raised has been spent.
Old Hall
The Title Registration work is continuing and our solicitor is expected to let us have an update in the near future.
Fundraising
I Buxton reported that the fun day, 7th July, was a great success.
Firstly a vote of thanks was passed to Ali and John for their outstanding concert, those who did not attend missed a great evening.
Secondly it looks like the Hall will recieve its £200 loan back plus an additional amount of around £750. There were still some aspects of the accounts that needed to be looked at and a meeting to review the day and accounts is awaited.
There will be a Lantern walk arranged for the 1st September and it was possible that a Wine and Wisdom evening would be arranged during October.

E Gliddon proposed and I Buxton seconded a vote of thanks to Barry Jenkins for his hard work and support as Treasurer of the New Hall over the past years. This was agreed and the Secretary will write to Barry conveying the meetings feelings.
When Barry moved he handed over the books to P Capron who has indicated he would be prepared to take on the Treasurers job. M Gliddon proposed and J Forward seconded that P Capron becomes the new treasurer. This was carried. The chairman said that the committee needed more help and I Buxton said he would now take the minutes to help out. It was agreed that we should be seeking more help by way of the Newsletter. It was also agreed the we should approach a person who had indicated during the Fun Day sponsorship appeals that they would like to get more involved in the Parish. I Buxton and the Secretary to deal.
It was agreed to renew our membership of DARE (Devon Association for Renewable Energy), this will be done once the new signatories have been added to the account by NatWest. The renewal date is 24th August, this was proposed by M Timney and seconded by M Gliddon.
There being no further business the meeting closed at 8.25pm

The next meeting will be held at 7.30pm in the Parish Hall on 5th September 2007.
