The meeting opened at 7.30pm chaired by L. Langston who welcomed everyone and explained this was a Special General Meeting called in accordance with the Parish Hall Constitution to determine a single resolution regarding the sale of the existing Parish Hall.

Public Notices had been posted throughout Ashwater Parish on 15th March 2009 and the Chairman outlined the reason for sale of the hall with legal completion to coincide with occupancy of the new hall. The latter aspect was required to comply with the terms of the Section 106 Agreement that formed part of the Planning Consent granted for the erection and occupation of the proposed new hall. The old hall property has outline planning consent for development into a single dwelling house with garage.

A Rowe proposed the following resolution:
"That on behalf of the Charity Trustees of the Parish Hall and Institute, the appointed Management Committee shall be authorised to arrange sale of property known as The Parish Hall, The Hill, Ashwater, Devon and such fixtures and fittings as they deem necessary on the best available terms and the proceeds net of all reasonable expenses pursuant to the sale be held upon the trusts of the said Registered Charity Number 1016238 and made freely available to further the aims and objects as specified by the Memorandum of Changes adopted under authorised signature and dated 2 August 2006.".

F Bull seconded the above resolution and the motion was passed unanimously.

This concluded the business of the Special General Meeting and the meeting was closed at 7.40pm.
